For Follow Up Boss teams and brokerages

Same team.
Same lead spend.
More closings.

You are already paying for more opportunity than your team can work. The leads that went quiet, the ones nobody called twice, the ones still sitting in March. That is production you have already bought and never collected.

We rebuild Follow Up Boss so the leads most likely to move next reach an agent first, and every other opportunity keeps getting worked until it is ready.

45 minutes, screenshare, you drive. No credentials, no access to your account, nothing changed. We show you where opportunities are being lost, which leads your team is overlooking, and what those gaps are costing you. You keep the written report whether you hire us or not.

Why lead spend isn’t translating into team production

Your team is getting the leads.
So where are the closings?

More leads should create more opportunities. Instead the pattern repeats: higher lead spend, a fuller CRM, more pressure on agents, and nowhere near the closings the spend should have bought. The problem is rarely volume. It is what happens after the lead lands.

01

You pay for the lead whether or not anyone works it

The invoice clears the moment the lead arrives. What happens next is a coin flip: maybe it gets called fast, maybe twice, maybe never again. You bought the opportunity before your team had a chance to lose it, and you buy it again next month.

02

Your CRM looks busy. Your pipeline doesn’t

Thousands of records feel like plenty of opportunity. But a lead untouched for 26 days is not pipeline, it is inventory you already paid for and stopped working. Most teams are sitting on years of it and treating this week’s form fill as the priority.

03

Two agents carry the team while the rest wait for a better list

The fastest responder gets the conversations. The most disciplined follow-up gets the appointments. Everyone else works a list sorted by date and spends their day on callbacks, dead numbers and manual nurture, which is the most expensive possible use of a licensed agent.

04

You cannot see where the opportunities are being lost

You find out the month was quiet on the 30th. Not which leads never got a second attempt, not which agent stopped following up, not which good lead was treated exactly like a dead one. So the fix defaults to another lead source, which only makes the pool of missed revenue bigger.

You don’t necessarily need more leads. You need more revenue from the leads you’re already paying for.

What half a point is worth

The gain doesn’t come from a bigger number at the top.

You do not need a transformation. You need your existing conversion rate to move by half a percentage point. Here is what that is worth on a normal team.

Leads a month300
Closing at 3%9 deals
Closing at 3.5%10.5 deals
Average commission$9,000

Half a point is worth

$162,000 a year, from the same roster and the same lead spend

We are not going to promise you a tripling. Nobody credible can. Half a point is the most defensible number in this industry, and it already beats another hire and another lead source, both of which cost you more money every month.

Same team, same spend

A different Tuesday.

Same 40 leads. Same agents. Same money spent to get them. All that changes is what happens to them once they arrive.

Today

  • 40 new leads this week. Nine got a real attempt.
  • The lead who opened the same listing four times sits in the same drip as everyone else.
  • The 9pm enquiry gets a reply on Thursday.
  • March’s leads have not been opened since March.
  • You find out on the 30th that the month was quiet.

After

  • All 40 get a real conversation, starting in seconds.
  • The one who came back four times is top of the list and has already been called about that property.
  • The 9pm enquiry gets a reply at 9:01pm and a booking by Wednesday.
  • March is being worked this week. So is 2023.
  • You find out on Monday who followed through, by agent.

How it works

We turn Follow Up Boss into a production system.

Not more activity inside the CRM. A path that runs from lead spend to intent to action to appointment to closing, whether or not anyone on your team is at a desk.

It starts with the CRM itself. Stages, lead flows, routing and smart lists get rebuilt first, because AI on top of a broken CRM only makes the mistakes faster and more expensive. Then four things run on top of it.

01Detect

Who is moving, and why

Your Follow Up Boss data already contains signals. Property views, inquiries, activity, response patterns, recency. We surface the people whose behaviour says something changed.

The Follow Up Boss Pixel installed and verified, not attempted, then every lead’s behaviour read continuously and scored inside the CRM your agents already use. There is no second screen.

02Act

Before the opportunity goes cold

The system triggers the right follow-up while intent is still high, instead of waiting for an agent to discover the lead buried in a list.

It texts and calls in your brand from your numbers, holds a real two-way conversation, qualifies on area, price, timeline and motivation, and names the exact property that lead keeps going back to. Not a template.

03Keep working

Everything that isn’t ready today

Not every lead is ready today. That doesn’t mean it’s dead. Lower-intent opportunities keep moving until behaviour changes.

March’s leads are being worked this week. So is 2023. Every contact has an off switch and the whole system has a stop, so you decide who it is allowed to talk to.

04Hand off

Conversations, not chores

Agents spend more time on qualified opportunities and less time manually figuring out who to call next.

Appointments book onto the right agent’s calendar on your routing rules, and every field, note and message is written back to the person record. One page every Monday shows you who followed through, by agent.

The goal isn’t more activity inside Follow Up Boss. It’s more transactions coming out of it.

The question every team leader asks

“We already have Follow Up Boss.
Why do we need you?”

Because Follow Up Boss is where the work gets recorded. It is not the thing that does the work. Every feature in it, including its AI, waits for a person to be sitting there.

Follow Up Boss on its own

  • Drafts the message. Somebody still has to send it.
  • Summarises the call. Somebody still had to make it.
  • Surfaces the task. Somebody still has to click it.
  • Sorts your list by date, stage or source.
  • Stops when your team goes home.

With the production layer on top

  • Sends it, holds the two-way conversation, qualifies and books.
  • Makes the call itself, then transfers a live one to the agent.
  • Does the task, then writes the outcome to the person record.
  • Sorts your list by who is behaving like a buyer this week.
  • Runs at 9pm on a Tuesday and all weekend.

Follow Up Boss gives you the infrastructure. We build the part that runs when nobody is there.

The part nobody else installs

Your CRM knows who is getting serious.
Your team usually doesn’t.

  • Someone visits the same listing three times.
  • Saves a property at 9:41pm.
  • Replies after 26 days of silence.
  • Checks out another neighbourhood.

Those aren’t database updates. They’re changes in buying intent. We turn those signals into action.

That behaviour is already being captured. On almost every team we open up, nothing is being done with it. The lead sits in the same drip as the four thousand people who are not ready, and the agent calls whoever is at the top of a list sorted by date.

We change what the list is sorted by. When someone starts behaving like a buyer they move to the top, the system reaches out the same hour, and the message names the actual property they have been looking at. Not a template. The three-bed on Maple they keep going back to.

To be exact about what we see: behaviour on your own search site, through the Follow Up Boss Pixel. Which listings they open, how often, how recently, and what they search for. If that is not set up, it is one of the first things we fix, and it is yours.

Two agents who had already decided AI wasn’t for them.

This is what the system looks like from the seat, which is the part your roster actually experiences. The team-level economics are in the case study directly underneath.

Michael, a real estate agent in Los Angeles, speaking to camera On the database he had given up on
“I thought, not another AI tool. But it even revived a two month old lead I’d completely written off, and I closed that deal.”
Michael, real estate agent, Los Angeles

What changed for Michael Los Angeles, California

7–8Hrs / week recovered Close to a full working day back every week from repetitive nurture and follow-up.
60+Day-old leads re-engaged Contacts he had written off were pulled back into live conversations instead of sitting in the database.
ClosedA deal he had given up on One of those revived conversations became a signed transaction he had already stopped counting on.
30+Hrs / month capacity Time redirected to clients, appointments and revenue-producing work.
Ron Jones, a real estate professional in Twin Falls, Idaho, speaking to camera On what it gives an agent back
“She has set appointments for me. I highly recommend Vocalxlabs because it lets us agents spend our time where we create the most ROI.”
Ron Jones, real estate, Twin Falls, Idaho

What changed for Ron Twin Falls, Idaho

24/7Lead coverage Leads get a first touch when agents are unavailable, instead of waiting for someone to become free.
BookedAppointments from his own database Qualified prospects moved to consultations landing directly on his calendar.
100%Call visibility Every AI conversation is recorded, so Ron can hear what was said and the system keeps getting tuned.
QualifiedBefore an agent picks up Repetitive qualifying is handled first, so agent hours go to conversations worth having.

Proof · from the owner’s P&L

An 8-agent team. No new lead sources.

Tim runs Prime Realty Partners across three South Jersey territories. He did not buy more leads. We changed what happened to the ones he already had.

Before

  • 3,272 contacts sitting in Follow Up Boss
  • 8 agents across 3 South Jersey territories
  • No way to tell who was actually ready
  • Follow-up depending on whoever happened to be free
  • Anything older than about ten days quietly stopped existing

What we changed

  • Intent scoring, so the top of the list means something
  • Automated reactivation across the existing database
  • Lead prioritisation ahead of the agent’s first call
  • Territory-aware team routing, encoded once
  • First message out 2.4 seconds after a lead hits the CRM, at any hour

After we rebuilt Follow Up Boss · month on month

+37Qualified conversations More opportunities surfaced and worked across the team’s existing database.
+14Appointments booked More qualified prospects moved from the database into active conversations with agents.
+4Additional closings More opportunities converted into transactions without expanding the team’s lead budget.
$0More added to lead spend More production from the same existing lead flow and the same eight agents.

How that compounds · same spend, month on month

  1. Same lead spend Nothing added to the budget
  2. +37 qualified conversations
  3. +14 appointments booked
  4. +4 additional closings

The goal isn’t to make your team do more. It’s to make the same team produce more.

The part team leaders worry about

There’s nothing new for your agents to open.

Everything else in this category asks you to roll something out: a new dashboard, a new login, a week of getting everyone on board, then six months of finding out half the team never did. This runs inside the Follow Up Boss your agents already have open all day. Conversations appear on the person record. Ready leads appear in the smart lists they already call from. The appointment lands on their calendar.

The only thing that changes for an agent is what is at the top of their list.

No new software

It lives on the Follow Up Boss record. If your agent can use FUB today, they can use this today.

No rollout to manage

Nothing to schedule, nothing to enforce, no adoption to chase across the team.

No change to how they sell

They still call, still show, still close. They just start the day on better names.

Your options

What you are actually choosing between.

Every option here is a way of trying to get more production out of the team. Only one of them does it without adding a person, a platform fee or another lead source.

Hire another agent$55k–$85k+ a year

The new hire inherits the same list sorted by date. You scale the number of people touching the problem, not the revenue coming out of it.

Hire an ISA$55k–$85k year one

One person’s worth of calling, on business hours, and the average one leaves inside twelve months. Then you recruit and train again.

A CRM setup shopOne-time fee

Rebuilds the CRM and hands it back. It still needs a human working it every day, and it still cannot tell you who came back to the same listing three times last week.

An AI calling platform$500–$1,000 / month

Syncs to Follow Up Boss instead of being built into it. Annual contract, onboarding, often a charge every time one of your leads replies, and the accounts stay theirs.

Vocal X LabsOne-time build, no platform fee

Built once inside the Follow Up Boss you already pay for. Reads which listings each lead keeps opening, reorders the call list around it, works every lead without a human present, and tells you which agents followed through.

  • Nothing new for agents to learn or log into
  • Accounts, numbers and data in your name
  • Still running if we part ways

An in-house ISA runs $55,000 to $85,000 in the first year and the average one leaves inside twelve months. A platform that does a fraction of this is $500 to $1,000 a month on an annual contract, plus onboarding, plus a charge every time one of your leads replies. This is built once, inside the CRM you already pay for.

Risk and ownership

Six things we put in writing.

It passes before it ships

Every build runs against an acceptance script we agree up front, on test contacts. If it does not pass, it does not ship and you do not pay for it.

The first 90 days are ours

We run it, watch deliverability, maintain carrier registration, audit opt-outs and tighten scripts as results come in. At day 90 you see everything we changed.

You own it either way

Accounts, numbers, keys, data and documentation in your name from day one. Whatever you decide at day 90, nothing switches off.

You control who it talks to

Every contact has an off switch and the whole system has a stop. You choose the segments and it never sends outside them.

No platform fee, because no platform

It is a build inside the CRM you already pay for. There is no monthly access charge and no fee when one of your leads replies.

Compliance built in

Carrier registration, opt-out handling and a full timestamped audit trail. Your data is never resold and never used to train anything for anyone else.

Fit

This is built for a specific kind of operation.

It fits if

  • You run a team or brokerage on Follow Up Boss and it is the system of record
  • You have more contacts than your agents can realistically work, usually 2,000 and up
  • You spend real money on leads every month and can say the number
  • You have agents producing at very different levels and you know it
  • You were about to solve this by recruiting

It does not fit if

  • You are a solo agent early on with a few hundred contacts
  • Your actual problem is that nothing is coming in. We cannot work leads you do not have
  • You are looking for the cheapest option. We are not it
  • You want to keep lead handling exactly as it is today

Timeline

What the first fifteen days look like.

Two weeks from the audit call to a system your agents are working from. Nothing about their day changes while we build it.

Days 1 to 2

The audit

We go through the account, the workflow and the process with you, then send the written report. Findings ranked by what they are costing you.

Days 3 to 6

Foundation

Stages, lead flows, smart lists, routing, action plans, cleanup. Your agents keep working exactly as they are while this happens.

Days 7 to 12

Signal and conversation

Pixel installed and verified, intent scoring live, the AI built to your workflow, compliance and carrier setup done.

Days 13 to 14

Acceptance

It runs against a written acceptance script on test contacts and you sign it off before a single real lead is in scope. If it does not pass, it does not go live.

Day 15

It runs

Your agents open Follow Up Boss to a better list. The weekly scoreboard starts. We run and tune the whole thing for the first 90 days, then show you exactly what we caught and changed.

Questions

Before you book.

What does it cost?

It depends on the size of the account and how much is being built, which is why we price it after the audit rather than before. Three things we can tell you now: it is a one-time build, there is no charge when your leads reply, and there is no monthly platform fee, because there is no platform. If the audit shows the numbers do not work for your operation, we will tell you that too.

Why do you need access to my Follow Up Boss?

For the audit we don’t. That is a screenshare where you drive and we watch, and nothing in your account changes. If you go ahead, we work through the Follow Up Boss API and a user seat you create and can revoke in one click, the same way you would onboard a new hire. Every account, number and key we set up is registered in your name, not ours. We never export your database and your data is never used to train anything for anyone else.

Do my agents have to learn anything?

No. Everything appears inside the Follow Up Boss they already have open. The conversations land on the person record, the ready leads land in the smart lists they already call from, and the appointments land on their calendar. The only thing that changes for an agent is what is at the top of their list.

We already had our Follow Up Boss set up by someone.

Good, that is a real head start. That is layer one of four. A well organised CRM still needs a human to work it every day, and it still cannot tell your agents which lead came back to the same listing three times last week.

We tried AI before and nothing changed.

Most of the AI sold into this industry writes listing descriptions and social posts. It saves time and it cannot change a conversion rate, because nothing about it touches a lead. We only build AI that talks to your database.

How long does it take, and how disruptive is it?

The written report comes back within two days of the audit call. Most builds are running against real leads inside fifteen days. Larger accounts and heavier custom work take longer, and we will tell you which one you are on the call.

Disruption is close to none. Your agents keep working exactly as they are while we build. There is no migration, no downtime and nothing for them to install. On the day it goes live their list is simply better ordered and some of their leads have already been spoken to.

What do you need from me?

A kickoff session and a review call. That is close to all of it. We do the pixel install, the carrier registration, the compliance setup, the content and the build.

Is this compliant?

Carrier registration, opt-out handling and a full timestamped audit trail are part of the build. The accounts are in your name, which means your compliance posture is yours to see and yours to control. TCPA exposure in this industry is rising quickly and we would rather over-engineer this part.

What happens if we stop working with you?

Everything keeps running. The accounts, the numbers, the data and the documentation are already yours. That is the point of building it this way.

We are not on Follow Up Boss.

Most of what we build is Follow Up Boss native and that is deliberate. Tell us what you run and we will tell you honestly whether it is a fit.

The next step

Find out what your database
is already worth.

45 minutes on a screenshare, in your own Follow Up Boss, with you driving. We go through the account the way we would if you had already hired us. You leave with a written diagnosis of where the opportunities are going and what that is costing you.

  • No credentials, no access, nothing changed
  • No pitch unless you ask for one
  • The report is yours either way

If the audit shows the numbers don’t work for an operation your size, we will tell you that on the call. We would rather lose the deal than build something that doesn’t pay for itself.

We run the first 90 days of every build ourselves, so we only take on a few at a time. Every month this waits is another month of leads you already paid for going unworked, and that spend does not come back.
